The incumbent serves as an Advanced Medical Support Assistant (AMSA) in the Office of Community Care (OCC) at the U.S. Department of Veterans Affairs (VA) Medical Center, Kansas City, MO. The incumbent performs clerical and administrative support in the coordination, care, and treatment provided to patients throughout the referral processes in the Kansas City VA Medical Center (KCVAMC), including all Community Based Outpatient Clinics (CBOCs). Due to the technical nature of language utilized by clinicians, advanced knowledge of medical terminology is required.

Duties may include but are not limited to:

  • Serves as the front line of contact with patients. Sets the tone for the quality of healthcare and services at the VA.
  • Incumbent must utilize a high degree of tact and diplomacy as well as a caring, compassionate and sensitive manner.
  • Promotes the registration and utilization of veteran online personal health records.
  • Collects insurance information from veterans, their families, and other eligible patients.
  • Interviews patients to make the determination of eligibility for various medical services. Obtains information needed to obtain pre-approval from the insurance company to process billings.
  • Updates and verifies demographic information when scheduling appointments, adding patients to the Recall Reminder, managing consultation requests, the electronic waiting list, and notifying the patient of his/her scheduled appointment.
  • Receives and screens telephone calls in a courteous and timely manner using privacy rules and established clinic processes. Forwards calls to team members as needed and/or take messages as needed.
  • Maintains document integrity by scanning and indexing materials in the electronic system timely and according to established guidelines. Properly disposes of scanned documents.
  • Processes first party requests for medical records and written (faxed) requests for medical information from hospitals and/or doctors. Contacts professional staff to obtain information necessary to respond to requests when not available in established records.
  • Identifies incomplete information on a daily basis and communicates finds to providers to facilitate accurate workload credit and revenue collection.
  • Supports patient safety standards and correctly identifies all patients through use of two forms of identification, Veterans Identification Card (VIC) and social security card.
  • Manages position responsibilities by setting priorities and deadlines, adjusting the flow and sequencing of work to meet team and patient needs with little supervision.
  • Provides administrative support to Physicians, Physician's Assistants, Nurses, Advanced Registered Nurse Practitioners, Dietitians, Social Workers and other administrative and professional staff.

Work Schedule: Monday - Friday, 8:00am- 4:30pm
