    GENERAL DESCRIPTION:

    Position performs clerical/administrative work supporting the care and treatment of inpatients. The Medical Support Assistant (MSA), Ward Clerk works collaboratively in an interdisciplinary coordinated care delivery model or specialty setting where the team model is used. The incumbent performs such duties as, but not limited to: admitting, transferring, and discharging patients in VIST NCPRS, maintaining patient files, verifying and acting on physician orders, reception of patients and their families, coordinating interdisciplinary team communication, scheduling post hospitalization follow up, data entry into VIST NCPRS, scheduling follow up appointments and or coordinating with outpatient specialty team to ensure follow up appointments are scheduled. Inpatient units supported by ward administration include: general medical, surgical, intensive care, pre-operative assessment, post anesthesia care, psychiatry, substance abuse treatment, short term rehab, long term care and hospice units. The medical support assistant (MSA) Ward Clerk position has a pivotal role within the inpatient interdisciplinary team. Inpatient care is delivered in a team based model. Members of the team include the Ward Clerk, Physicians, Nurse Managers, Charge Nurses, Patient Care Coordinators, Staff Registered Nurses, Licensed Practical Nurse/Licensed Vocational Nurse and Certified Nursing Assistants. The team works collaboratively with other members of an expanded health care primary care team including pharmacists, social workers, dieticians, behavioral health staff, etc.to provide a robust interdisciplinary approach to care. The Ward Clerk is able to independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.

    Functions:

    • The Inpatient Unit MSA works collaboratively in team environment and performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients on the inpatient unit. He/she must assist with clinic access contingency plans as conflict with staffing and/or coverage occurs. The Inpatient Unit MSA may be required to cover in more than one inpatient area/ward
    • Ability to independently manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.
    • Supports patient safety standards.
    • Incumbent performs a variety of administrative functions associated with patient care and treatment in one of several inpatient units
      performing a variety of services. Employee must acquire knowledge of internal organizational procedures, knowledge of various facility services, knowledge of commonly used medical terminology and abbreviations and VA acronyms and their meaning.
    • The incumbent(s) must coordinate efforts to ensure all aspects of duties are accomplished efficiently, timely, and correctly.

    • Incumbent will maintain the confidentiality of information obtain to carry out required duties.
    • lncumbent(s) must be able to interpret and communicate requirements of VHA Scheduling Directives and complete accurate
      scheduling responsibilities and assist in training other MSA in levels as follows:
      • Schedule appointments accurately in a timely manner. All appointments will be made with the patient's input,
      • Notifies his/her supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic timeframes.
