    Responsibilities

    Serves as a personal, confidential Executive Secretary to the Medical Center Director in a large VA medical center affiliated with various medical schools.

    Duties may include, but are not limited to the following:

    - Serves as Office Manager for the Director's Office, ensuring procedures and practices used by others in subordinate services and staff offices are consistent with those established by higher authority.

    - Exercises exclusive control over the Director's calendar. Arranges meetings/conference calls, etc. for Director notifying participants of place, time, and topics for discussion. Also coordinates scheduling of multiple meeting/board rooms and prioritizes their usage when conflicts arise. 

    - Serves as liaison between Director and staff on procedural matters and established policies. Responds to inquiries and administrative problems brought to the Director by service chiefs and other federal organizations. 

    - Prepares correspondence, reports, policies, emails, and memoranda for the Director including highly technical and sensitive material.

    - Reviews all correspondence for the Director and drafts replies not requiring Director's personal attention. Screens all correspondence prepared by others for the Director's signature for clarity, completeness of reply, grammatical and procedural correctness. Screens all publications, directives, and periodicals, and brings those of significance to the Director's attention.

    - Arranges visits for VACO officials and other VIPs visiting the Medical Center, including coordinating hotel accommodations, meeting rooms, transportation, notification of participants of meetings, and developing background information for visits.

    - Screens telephone calls and visitors to the Director's Office and either personally furnishes required information or refers inquiries to appropriate staff.

    - Develops material/informational documents for Director's use in public speaking engagements and ceremonial events. Coordinates logistics for any travel associated with speaking engagements.

    - Ensures that all official social obligations are met. Arranges luncheons, issues invitations, ensures proper seating, ensures all details are covered, guest speakers arranged, and that adequate provisions are made for protocol requirements. Plans and coordinates receptions and luncheons for dignitaries to the Medical Center.

    - Arranges travel and hotel accommodations for the Director. Completes official travel requests/forms and coordinates with Travel staff on expense reports upon completion of travel. 

    Work Schedule: Monday - Friday, 8am to 4:30pm
